**Three out of four large employers filter resumes through software before a human ever sees them.**
That software – the Applicant Tracking System, or ATS – does not admire your layout. It shreds your file into plain text and hunts for contact details, section headings, dates, and keywords.

Every other career site will tell you to “beat the system” with tricks. Here is what they skip: the system is dumb in predictable ways, so a plain, well-structured resume wins every time – and you can verify yours in thirty seconds with our [free ATS Resume Checker](https://velstech.net/ats-resume-checker). That is what this guide covers.

*Source note:* the parsing behaviour below reflects how mainstream ATS products and our own checker handle text extraction – headings, markers, and keyword matching verified against real exports, October 2026.

**Related:** run your resume through the [ATS Resume Checker](https://velstech.net/ats-resume-checker) as you read, and build a clean base with the [CV & Biodata Builder](https://velstech.net/cv-builder).

## The short version: ATS in 60 seconds

- What: ATS software converts your resume to raw text, then scores contact info, standard sections, dates, and keyword overlap with the job post.

- Rules that matter: real contact details, standard headings (Experience, Education, Skills), one date format, bullet achievements with numbers, keywords spelled exactly like the posting.

- Format: text-based PDF or .docx. Never a scanned image, and never text boxes, tables-for-layout, headers/footers carrying contact info, or graphics holding text.

- Catch: a beautiful two-column designer resume routinely parses as word salad – single column wins.

- Who: anyone applying through a portal in 2026 – startups to IT services to government-adjacent roles.

## What an ATS actually does

An ATS is a database with a shredder attached. When you upload a resume, it extracts raw text, guesses which block is contact info, which lines are headings, and which strings are skills – then a recruiter searches that database the way you search Google. “Show me backend engineers in Bengaluru with Postgres” only returns you if those exact tokens survived parsing.

Nothing here requires gaming anything. Every rule below is just “make the dumb parser's job easy” – which, conveniently, also makes your resume easier for the human who reads it next.

## The 7 rules that matter

| Rule | Do this | Not this |
| --- | --- | --- |
| Contact block | Name, city, phone with country code, plain-text email, one full LinkedIn URL | Contact info inside a header graphic, photo, or icons without text |
| Standard headings | Experience, Education, Skills, Summary, Projects, Certifications | “My journey”, “What I bring”, “Toolbox” – parsers file these under misc |
| One date format | Jan 2021 – Mar 2023 on every role, no gaps left unexplained | Mixing “2021–23”, “Jan ’21”, and dateless roles |
| Bullets with numbers | • Cut API latency 40% by removing N+1 queries | Paragraphs of duties starting “Responsible for…” |
| Single column | One reading order, top to bottom | Two-column designer layouts that parse as word salad |
| Keywords, exact | Mirror the posting's spellings: React, PostgreSQL, CI/CD | Only synonyms the posting never uses |
| Length | One page under 10 years, two max – roughly 250–1,200 words | Five pages of everything since college |

The honest fine print: no format rescues a resume with no relevant experience. These rules decide whether a qualified candidate gets seen – they do not manufacture qualifications.

## PDF or Word?

Submit .docx when the portal allows it – Word's text layer is the most reliably parsed format in existence. A text-based PDF is a close second. What fails: scanned or photographed PDFs (no text layer at all), exports from design tools that draw text as vector shapes, and fancy bullet glyphs from symbol fonts that extract as blanks. If your bullets vanish when you copy-paste from the PDF, an ATS cannot see them either – our [checker flags exactly that](https://velstech.net/ats-resume-checker).

## Match the job post without lying

Keyword matching is the one place tailoring beats template-blasting. Paste the posting into the checker's job-description box: you get a coverage percentage and the exact missing terms. Add the ones you genuinely have, spelled exactly as posted – “Postgres” when they wrote Postgres, not “PostgreSQL” and hope. Never add skills you lack; interviews test them in ten minutes.

## The India angle

- Naukri and referrals first, portals second. Most Indian hiring still flows through Naukri search (same keyword logic – fill the profile skills verbatim), employee referrals, and LinkedIn. The ATS rules above apply to all three, because Naukri's own search parses your uploaded resume the same way.

- Resume, not biodata – unless asked. Private-sector recruiters expect a resume: skills first, no photo, no date of birth, no marital status. Keep the biodata format only for the government and PSU applications that explicitly ask for it.

- Freshers: projects are your experience section. No internships yet? A Projects section with two real builds (links, tech stack, what you measured) outranks a page of coursework every time.

## Who is this for

- Follow this if: you apply through any portal, Naukri upload, or company careers page – fresher to 15 years in.

- Skip if: you are hired purely through warm intros and contracting history – still worth one check, but formatting is not your bottleneck.

- Consider instead: building the base document first in our CV & Biodata Builder, then verifying it here.

## What this means for you

Stop guessing whether your resume parses – [run the free checker](https://velstech.net/ats-resume-checker). Paste text or drop your PDF/DOCX, add one real job posting, and fix whatever scores red. Thirty seconds, private, in your browser. Then build the next version properly with the [CV Builder](https://velstech.net/cv-builder).

## Bottom line

ATS software is a strict, literal reader: standard headings, one date format, bullets with numbers, exact keywords, single column. Do that and you are past the robots in one evening of editing. The rest – real experience, real numbers – was always up to you. No tricks, no keyword stuffing, no five-page design portfolios.
